When someone creates a FlowHawk account and selects your organization during signup, they appear as a Pending Member until an Organization Manager approves them. This ensures only authorized users gain access to your organization's data.
How Users Become Pending Members
During the signup process, new users:
Create a FlowHawk account
Select the organization they belong to
As soon as they select your organization, their account is added to your Pending Members list. They cannot access organization Cases or Rooms until approved.
Manager Notifications
All Organization Managers receive an email alert that a new person is requesting access. The user remains in a "waiting for approval" state until a manager takes action.
Viewing Pending Members
The Pending Members list works similarly to the Approved Members list. Each person who selected your organization during signup appears in this list until an Organization Manager takes action.
To begin managing requests, you must use the checkbox next to the user’s name.
How to Access Pending Members
Open the Admin Portal
Select Users
Click Pending Members
You’ll see a list of all users waiting for approval.
Managing Pending Membership Requests
Actions become available only after you check one or more boxes next to the users you want to manage. Once at least one user is selected, three buttons appear at the top of the list:
Approve Membership Request
Deny Membership Requests
Deactivate Accounts
Each action is explained below.
Approving Membership Requests
Use this option to add selected users to your organization.
Steps
Check the box next to the user(s).
Click Approve Membership Request.
Confirm the action.
Once approved:
Users move to the Approved Members list
They gain access to cases based on workflow rules, team membership, and individual assignments
Denying Membership Requests
Use this option when a user should not be added to your organization.
Steps
Select one or more users.
Click Deny Membership Requests.
Confirm the action.
Once denied:
The user is not added to your organization
They remain outside your data
They may select another organization or retry signup if they made an error
Deactivating Accounts
You can fully deactivate accounts for users who should not have FlowHawk access at all.
Steps
Select one or more pending users.
Click Deactivate Accounts.
Confirm the deactivation.
Deactivated users:
Cannot log in
Have their accounts archived
Are blocked from accessing all organizations in FlowHawk
