🧩 Can’t add a user to a room or case? Try these steps

If you're trying to add a teammate but can't find them in the list, there are a few things to check.

✅ Step 1: Make sure their membership is approved

Before someone can be added to a chat room or case, they must be approved as a member of your organization by someone with Organization Manager permissions.

Here’s how to approve them:

  1. Go to the Users section

  2. Click Pending Members

  3. Find the user and approve their request

Once approved, their account becomes searchable and can be added to rooms or cases. Additionally, they will be listed in the Approved Members list.


🧭 Step 2: Add them to a case or room from outside the current list

➕ Add someone to a Standard Room:

  1. Open the room

  2. Click the ⓘ Info icon in the top right

  3. Select Add People

  4. Click the +person icon to add someone outside of the current list

  5. Enter their phone number > Add

📁 Add someone to Case Room (add a case follower):

  1. Open the case

  2. Click the Permissions in the case details panel

  3. Click Add Followers > People > Add People

  4. Click the +person icon to add someone outside of the current list

  5. Enter their phone number > Add


⚠️ Important: Approval to an organization alone does not add the person to any rooms or cases. An admin still needs to manually add them using the steps above.
