📲 Getting started with FlowHawk

This guide will walk you through key features like setting up your account, creating cases, managing teams, and communicating securely. While designed for the web app, the mobile app follows similar steps.


🚀 Accessing the FlowHawk app

Download the FlowHawk app on:

  • iOS or Android: Search “OmniLife FlowHawk” in the App Store or Google Play.

  • Web: Visit messages.omnilife.io and log in.


👤 Set up your account

Go to More > My Profile > Edit to:

  • Update your name, role, email, and phone number

  • Set your notification preferences

    • Toggle Do Not Disturb if you want to mute notifications (except "@" mentions)

    • Choose a custom notification sound

  • Click Done to save your changes


👥 Create and manage teams

Teams let you add multiple people to cases and rooms with one click.

To create a team:

  1. Click More > My Teams

  2. Tap +Add Team to create a new team

  3. Name the team and choose Share with organization

  4. Under Add Members, choose individual users or existing teams, and hit Create

Pro tips:

  • Anyone can edit a shared team

  • Add teams to case permissions for faster setup

Note: The mobile app supports creating new teams, but adding existing teams isn’t an option-you can only invite individual users.


📝 Create a case

Step 1: Add a case

  1. Go to Cases

  2. Click + Add Case

  3. (Optional) Import a PDF Donor Summary

  4. Fill in the case details

  5. Choose a workflow

  6. Click Create Case

  7. Select Default Follower Groups or choose Skip Without Creating. You can add the groups now or later.

Step 2: Add people

To add people to a case, go to Cases > Permissions

  • Choose Add admins, Add followers, or Add default followers.

Admins can:

  • Edit the case

  • Be added as individual users or as teams

  • Add unregistered users via phone/email

Followers can:

  • View selected case updates

  • Receive push, SMS, or email alerts

  • Update tasks if enabled

  • Only see and get alerts for tasks they’re assigned to

Step 3: Complete tasks

  • Cases consist of Tasks (major steps) and Subtasks (details)

  • Save your changes as you go

  • Mark a task complete and also notify Admins and Followers


📎 Add files to a case

  • Tap the Files tab in the case details

  • Upload documents from mobile or desktop

  • High-res images and PDFs are supported

Note: Files uploaded to an individual case are accessible to all users. To control file access, upload them to follower rooms instead


💬 Communicate with your team

When users are added, each case automatically creates a secure messaging room.

To find it:

  • Open a case

  • Click Rooms

These rooms:

  • Include only case Admins (unless you create a Follower room)

  • Send real-time notifications

  • Support text, file uploads, photos, and videos

Create your own room:

  1. Go to Rooms

  2. Tap + Room

  3. Add people (internal or external)

  4. Type your message or upload a file


🔔 Manage notifications

Notifications show when:

  • You're added to a case or room

  • A task is completed that you're following

  • Someone sends a message in a room you're in

You’ll see:

  • A red badge icon with the number of unread updates

  • Push notifications linking to the message

  • A list of rooms and cases with activity in the Rooms tab

To adjust notifications:

  • Mute specific rooms

  • Use Do Not Disturb in your profile settings

  • Set a due date reminder in tasks if needed

Note: Muting one room does not mute notifications from other rooms.


📷 Share photos and videos

  • Take or upload high-res images/videos in a room

  • Zoom in without losing clarity

  • In any room, click the info icon in the top right corner and select "Files" to view stored documents


👀 Track read status

  • Messages show who has seen them (“Seen by X people”)

  • Click on a message for Message Details

  • You can follow up, reply, or call directly from the app


🧹 Manage rooms

  • Swipe left on a room to leave (mobile) or go to Info > Leave group (web app)

  • Tap Info > Delete to archive it for everyone
