🧾 How to Create a Word Document from Your Workflow

This guide will walk you through creating a printable Word document version of your workflow.

🔐 Before You Start

You must:

  • Be an Organization Manager

  • Access this through the Admin Portal

If you do not have Admin Portal access, you will need to ask someone with Organization Manager permissions for help.


✅ Step 1: Export Your Workflow Forms

  1. Go to the Admin Portal

  2. Open Workflow Builder

  3. Click Modify Template

  4. Select the workflow template you want to create a Word document for

  5. Click Advanced

  6. Click Export Forms

👉 This will download one or more files to your computer (they will be .json files)

Good to know:

  • You may get more than one file — this is completely normal

  • You do not need to open or edit them

  • Just make sure you keep all the files together


✅ Step 2: Upload the Files to Copilot

  1. Open Copilot (for the purposes of this example, this is the tool we used)

  2. Upload all of the files you just downloaded

  3. Paste the prompt below into the chat


✅ Step 3: Use This Prompt

Copy and paste this exactly:

I have uploaded JSON form configurations.   
Please convert them into a clean, offline-friendly Word document with the following requirements:
- Use simple tables (2 columns: Field | Entry)
- Group fields into logical sections that mirror the workflow
- Include ALL fields and ALL response options from the JSON (no references like "see system")
- For selectable fields, include options in the Entry column (e.g., "Yes | No" or comma-separated lists)
- Keep formatting minimal and print-friendly (no interactive form fields)
- Optimize for clinical offline use (easy to read, easy to write on paper)
- Preserve original field labels exactly as shown
Do NOT create fillable form fields or interactive checkboxes. This should be a static document designed for printing.

✅ Step 4: Download Your Word Document

Copilot will generate your document for you.

  1. Download the Word file

  2. Save it somewhere easy to find (like your desktop or shared drive)

  3. Print copies if you want a paper version for backup use

  • ✅ Complete (all options included—nothing missing)

  • ✅ Organized into clear sections

  • ✅ Ready to print and use anytime
