🧩 Workflow Tasks and Fields

🧠 What are tasks?

Tasks break a workflow into logical sections, making complex information easier to manage. Each task groups related fields together under a clear label (for example, Donor Info or OR Details). By structuring workflows into tasks, you improve readability, guide users through data entry, and keep information organized.


📝 What are fields?

Fields are the building blocks inside each task. They capture individual pieces of data, such as a donor’s UNOS ID, date of birth, or hospital contact number. Each field is configured with a type that matches the data being collected, ensuring consistency, accuracy, and easier reporting later.

Supported Field Types

✏️ How to Add or Edit a Task

Step 1: Create Tasks

  • Go to Tasks & Fields

  • Enter the name of a new task under Add Main Task.

  • Click on the task title to add or edit fields

Step 2: Add Fields to the Task

  • Click the task title to add fields

  • (Optional) Add a Section Title

  • Click into Add Field and enter a field name

  • Select a field type (text, date, etc)

  • Enter field name into Display As

  • Click Save Task to apply the changes


🧩 Best Practices

Use Clear Task Names

Label tasks based on the type of data they contain (e.g., “Donor Information”, “Logistics”, “OR Details”).

Group Related Fields

Keep fields that belong together in the same task to make workflows easier to navigate.

Use Consistent Field Labels

This helps with donor PDF mapping and analytics tagging later in the workflow setup.
