Understanding Workflow Tasks and Fields

Tasks and fields define how information is organized and collected in a workflow.

What Tasks and Fields Control

Tasks and fields control:

  • How a case is organized

  • What steps users complete

  • What information must be captured

When a workflow is applied to a case, tasks and fields appear automatically based on how they are configured.


Tasks

Tasks break a workflow into sections.

Each task groups related information together, making the case easier to navigate.

Examples of tasks:

  • Donor Information

  • Logistics

  • OR Details

Using tasks helps:

  • Organize complex information

  • Guide users through the case

  • Keep related data grouped together


Fields

Fields are used inside tasks to capture specific data.

Each field represents one piece of information, such as:

  • UNOS ID

  • Date of birth

  • Contact number

Fields are configured with different types to match the data being collected.

Add a Task

  1. Go to Tasks & Fields

  2. Enter a name under Add Main Task

  3. Select the task to begin adding fields


Add Fields to a Task

  1. Select a task

  2. Enter a field name under Add Field

  3. Select a field type

  4. Enter the field name in Display As

  5. Select Save Task

Fields can be reordered by:

  • Dragging them

  • Using arrows

  • Adjusting the order value


Field Attributes

Field attributes are configured when adding or editing a field. They control how the field behaves when used in a case. Each attribute can be enabled as needed.

Available Field Attributes

Mandatory
Makes the field required. The field must be completed before a task can be finished.

Flight Tracker
Allows a tail number to be entered, and when clicked, the flight path and current location can be viewed.

Display on Item
Includes the field when case information is shared in a room.

When enabled:

  • A Display As value must be entered

  • The Display As value determines how the field appears in the room update

  • The workflow field name and display label can be different

Include in Case Timeline
Includes the field in the case timeline so it appears in the history of case activity.


Organizing Tasks and Fields

Well‑structured tasks and fields make workflows easier to use.

Use Clear Task Names

Name tasks based on the type of information they contain.

Examples:

  • Donor Information

  • Case Details

  • Transportation

Group Related Fields

Keep related fields in the same task to improve usability.

Use Consistent Field Names

Consistent naming helps with:

  • PDF mapping

  • Analytics mapping

  • Reporting


What Users Will Experience

When a workflow is applied to a case:

  • Tasks appear as sections in the case

  • Fields appear inside each task

  • Users complete fields as part of their workflow

  • Required data is captured consistently
